Responsibilities:
The Telephone Operation Representative performs all duties related to incoming, outgoing and internal calls and taking messages.
Manage operations of communication center/switchboard on a daily basis.
Act as a first point of contact over the telephone, answer incoming calls within 2-3 rings
using the standard greeting and provide a high level of customer service (prompt, courteous,
friendly, confident, and articulate, etc.)
Receive and relay incoming, outgoing and internal calls according to local guidelines; locate recepient of incoming call using appropriate systems; take accurate messages and route/deliver promptly via email if necessary.
Supply routine telephone information and answer caller questions (which have standard answers), or direct customer inquiries to the appropriate resource/person to safeguard confidential information.
Update extension numbers as appropriate and maintain telephone/console system with accurate data (personnel extension).
Operate the paging system based on business requirement.
Provide general information regarding restaurants, catering services, and food vendors.
Check the trunk lines to ensure smooth operation of the switchboard, take appropriate action on telephone defects and submit service issue report to appropriate person for immediate action.
Record/keep statistics and records of incoming/outgoing calls and submit the report to the Telephone Operation Lead on a daily basis.
Perform the job of the Receptionist and the Reservationist when necessary
Provide back-up support to the Reservationist, Telephone Operator, and other team members when needed.
Perform other duties as assigned/required by the Telephone Operation Lead and the Business Services Center Lead.
Requirements:
Candidate must possess at least a Bachelor’s/College Degree , any field preferably Mass Communications, Business, Tourism or HRM.
Required skill(s): Customer Service Delivery and Administrative and Clerical Skills.
Knowledgeable in the principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
With above average english communication skills
Can keep record of calls placed and received
